Event videography

Event videography in Mexico is five hours of filming at a corporate or private event, edited into a highlight film of 3 to 5 minutes and priced from $1,100, with the film delivered within 3 weeks. It covers incentive trips in Los Cabos and the Riviera Maya, conferences in Mexico City and Guadalajara, product launches, galas, milestone birthdays and XV años celebrations. The price is a starting quote: extra hours, a second camera or full-length recordings of talks change it, and the quote is agreed in writing before any deposit is paid.

Filming an event in Mexico for a highlight film

A highlight film is not a recording of the whole event. In 3 to 5 minutes the speeches appear as short excerpts between arrivals, the room, the stage, the guests and the moments people will want to see again. If a keynote, a panel or every toast needs to be kept in full, it is a separate edit, quoted before booking, because each full-length recording adds hours of syncing and sound work. Raw footage is not included unless it is agreed in writing before booking.

Sound is where an event film is won or lost. The videographer asks the venue’s audio provider for a direct feed from the mixing desk, which carries every stage microphone cleanly; at a hotel ballroom in Cancún or a convention centre in Mexico City that is usually arranged with the AV company the venue already works with. Where no feed is allowed, a separate recorder is placed near the speakers. Contact the audio provider a week or more before the event, because a feed decided on the night rarely works. Filming on a public street or plaza may need a municipal permit of its own, so ask the local municipality if part of the event happens outside the venue.

Event videography is a different booking from corporate event photography, which delivers edited photographs rather than a film, and many events book both. It is also not wedding videography: a wedding runs 8 hours and its film is built around a ceremony and vows, while an event film is built around a programme, a stage and a crowd. For short vertical clips for an event’s own social accounts, social media content is the closer fit.

Questions about event videography

What kinds of events does event videography cover in Mexico?

Event videography covers incentive trips, conferences, product launches, galas, milestone birthdays and XV años celebrations in Mexico: 5 hours of filming edited into a 3- to 5-minute highlight film. A wedding is booked as wedding videography instead, because its day runs 8 hours and its film is built around the ceremony and the vows.

Does event videography include the full recording of every speech?

Event videography delivers a highlight film of 3 to 5 minutes, in which speeches appear as short excerpts. Full-length recordings of keynotes, panels or toasts are a separate edit, quoted before booking and agreed in writing, because each one adds hours of syncing and sound work after the event.

How is sound recorded for event videography at a hotel or venue?

Clean sound is the hardest part of event videography, so the videographer asks the venue’s audio provider for a direct feed from the mixing desk, which carries every microphone on stage. Where no feed is allowed, a separate recorder is placed near the speakers; contact the audio provider at your Mexican venue a week or more before the event to arrange it.

Why is event videography in Mexico quoted rather than fixed?

Event videography starts from 5 hours with one camera, and the quote then adjusts for what changes the work: extra hours, a second camera for a stage and an audience, full-length talk recordings, a same-day edit for the closing dinner, or travel to a venue far from the videographer’s base. The quote is agreed in writing before any deposit is paid.
